Presentation Instructions
TO ALL PRESENTING AUTHORS: ICEAA-IEEE APWC is constituted only of oral sessions. As required by IEEE, papers that are not presented by an author will not be posted in the conference proceedings on IEEE Xplore. Confirmation of the time of presentations has been communicated to all presenting authors on 20 July 2022. The approved program indicating your time slot for presentation is available on the ICEAA website A hybrid format will be followed, whereby the conference can be attended in person or virtually. Registrants have to indicate their mode of attendance at the time of registration. Video camera feeds from all meeting rooms for the whole technical program will be live-streamed and videos of each presentation will be available during the conference and for a limited time afterwards, all via the online portal. Scheduled presentations will either be presented in person or virtually, according to the presenter’s selected mode of attendance, when registering for the conference. Pre-recorded videos will be required from all presenters (both in-person and virtual, see below).
In-person presentations Each session room will be equipped with a personal computer (Windows OS) running Microsoft Office and the latest version of Adobe Acrobat Reader. Each room will have a projection screen, and the computer will be connected to an appropriate LCD projector. Authors will not be permitted to use their own laptop computers for their presentations. Authors should ensure that their presentations are loaded onto the computer in their assigned session room during breaks, using a USB flash memory stick. It is requested that you do not use a U3-enabled flash memory stick. Authors should ensure that their presentations are loaded before the beginning of their session. This can in fact be done at any time during the course of the week. For enquiries consult the registration desk. Authors' presentation files should be in either PowerPoint or PDF format. You must make sure that your presentation contains all of the fonts and any auxiliary or multimedia files needed, and that these files are copied on to the session room computer. If you are generating an Adobe PDF file of your presentation, please make sure that you embed all fonts. The normal TrueType or OpenType fonts installed with Windows and Office should be available on the projection computers. The use of Adobe Type 3 fonts (common in some installations of LaTex, for example) is strongly discouraged: such fonts do not scale well, and tend to produce very poor results when projected. Finally, please try to minimize any potential problems by taking advantage of redundancy whenever possible: save and bring your presentation in multiple formats (e.g., Microsoft PowerPoint and Adobe PDF), store your presentation in more than one USB flash memory stick, and hand carry your presentation during travel. Available software for projection: Windows OS, MS Office, Adobe Reader, Codec Media Player, data compression tool, browsers. The total allocated time slot for each presenter is 20 minutes. Hence the duration of each talk should never exceed 20 minutes, including discussion. Ideally presenters should speak for 15-17 minutes, and leave 3-5 minutes for questions.
Virtual presentations The default procedure is to play the pre-recorded video in the meeting room at the scheduled time, with the presenter available online for questions afterwards, via the custom conferencing platform. Virtual presenters may also elect to present live by video link (screen sharing). In case of technical problems with the latter, the presentation format will revert back to playing the video. Detailed information on procedures for virtual presentations will be communicated to the virtual presenters ahead of time per email by the conference secretariat. Important information regarding pre-recorded videos 1. As this is a hybrid conference, all presenters (virtual and in-person) are requested to upload a 16-17 min pre-recorded presentation via the following link no later than Monday 15 August 2022 at 1200 (UTC)(GMT) at the latest. Each presentation time slot is 20 minutes (including 3-4 min for questions/discussions). All videos will be checked for duration, sound and video quality. Recordings will only be available for viewing by participants during the conference. No download options will be available. All virtual presentations will consist of the pre-recorded video being played, followed by 3-4min time for questions, where the virtual presented will be online to answer. The in-person audience can ask question via a microphone. The virtual audience can ask questions via a text chat facility.

File naming convention: Please use the following elements in naming your file before uploading. [day] = day in September and time of presentation [title] = a title of no more than 25 characters E.g 5-10h00-Electromagnetics in.mp4 Note not to add your name to the file, since you will be requested to provide your first name and last name upon upload that will automatically be added to the file name. Virtual Platform As this is a hybrid conference, all presenters are requested to update their biographies (and photographs if you have not done so already) on their unique registration link sent to them on 20 July 2022. Please note links cannot be shared with other presenters. All presentations will be available up to 30 September 2022 on the virtual portal in case you would like to view a presentation again.

When you load the application, you will receive all the conference information - such as the daily schedules and session data. The Meeting Hub feature allow attendees to search for other attendees, request connections, and engage with voice calls, video calls, text messages chats and scheduled video meeting. Certificates of attendance In-person delegates can collect a certificate of attendance on the last day of the conference and the certificate will be sent by email to virtual attendees during the first week of October 2022. |
